Approving and Rejecting Requests
Admins and Owners are responsible for reviewing access requests submitted by team members. This guide explains the approval workflow.
Viewing Pending Requests
- Navigate to the Access Requests page from the sidebar.
- The default tab shows Pending requests -- these are waiting for your review.
- Each request card displays the requester's name, the tool they want access to, the requested role, and their justification.
You will also receive a notification whenever a new request is submitted, so you can act quickly.
Approving a Request
- Click on a pending request to open its details.
- Review the requester's justification and the role they selected.
- Optionally add access details -- for example, a note about which workspace or project they have been granted access to, or a link to an invitation.
- Click Approve.
Once approved:
- The requester is notified immediately.
- The tool appears on their My Tools page with the approved role.
- The request moves from the Pending tab to the Approved tab for your records.
Rejecting a Request
- Click on a pending request to open its details.
- Enter a rejection reason explaining why the request cannot be approved. This helps the requester understand what to do next.
- Click Reject.
Once rejected:
- The requester is notified along with your reason.
- The request moves to the Rejected tab.
- The requester can submit a new request with additional context if they believe the rejection was a misunderstanding.
Best Practices
- Respond promptly -- Pending requests block team members from getting work done.
- Check compliance badges before approving. If the tool shows a yellow "Needs Review" badge, consider completing the compliance fields first.
- Be specific in rejection reasons -- Instead of "Not approved", explain what is missing (e.g., "Please clarify which project requires this tool" or "Use Tool X instead, which is already approved for this workflow").
- Adjust the role if needed -- If a member requests Admin access but only needs Editor, you can discuss the appropriate level before approving.
