Requesting Tool Access
Any team member can request access to a tool in the ToolTrack AI catalog. Access requests are reviewed by Admins and Owners before being approved or rejected.
How to Submit a Request
- Navigate to the Tools page and find the tool you need access to.
- Click the tool card to open its detail page.
- Click the Request Access button.
- Fill in the request form (see below) and click Submit.
Your request will appear in the Access Requests queue for admins to review.
Choosing a Role
When submitting your request, select the level of access you need:
- Viewer -- Read-only access. Choose this if you only need to view data or dashboards within the tool.
- Editor -- Can create and modify content within the tool. Choose this for day-to-day working access.
- Admin -- Full access including configuration and user management within the tool. Only request this if you will be responsible for managing the tool.
If you are unsure which role to pick, start with Editor -- it covers most use cases. Your admin may adjust the role during approval if a different level is more appropriate.
Writing a Good Justification
The justification field is required and helps admins understand why you need the tool. A strong justification includes:
- What you will use the tool for -- Describe the specific project or task.
- Why this tool specifically -- If there are similar tools already approved, explain why this one is needed.
- How often you will use it -- Daily, weekly, or for a one-time project.
Example:
"I need Editor access to Figma for the Q3 website redesign project. Our team will use it daily over the next 8 weeks to create mockups and prototypes. We chose Figma because the design system library is already set up there."
After Submitting
- You will receive a notification when your request is approved or rejected.
- You can track the status of your pending requests on the Access Requests page.
- If your request is rejected, the admin may include a reason. You can submit a new request with additional context if needed.
