Tracking Onboarding Progress
Once you assign an onboarding template to new hires, ToolTrack AI helps you track whether each tool has been provisioned. This ensures nobody falls through the cracks during their first days.
Onboarding Batches
New hires are grouped into batch cards on the onboarding dashboard. Each batch card shows:
- Batch name — Typically the start date or cohort name (e.g., "March 2026 Cohort").
- Number of new hires — How many people are in this batch.
- Template used — Which onboarding template was applied.
- Overall progress — A summary of how far along the batch is.
Click on a batch card to see the details for each individual in that group.
Progress Bars
Every new hire has a progress bar that shows how many of their assigned tools have been provisioned versus how many are still pending. The bar fills in as tools are marked complete.
- Green indicates tools that have been provisioned.
- Gray indicates tools that are still waiting.
The percentage is calculated automatically: if a new hire has 10 tools assigned and 7 are done, the progress bar shows 70%.
Status Tracking
Each tool in a new hire's onboarding checklist has one of these statuses:
- Pending — The tool has not been provisioned yet.
- In Progress — Someone has started the provisioning process.
- Complete — The tool is provisioned and the new hire has access.
Admins and Owners can update the status of each tool manually by clicking the status badge next to it.
Staying on Top of Onboarding
Use the onboarding dashboard regularly to check for stalled batches. If a progress bar has not moved in a few days, follow up with the team responsible for provisioning those tools. Completed batches are archived automatically so your dashboard stays clean.
