How to offboard team members in ToolTrack AI, including the revocation checklist and completing the offboarding process.

Offboarding Team Members

When someone leaves your organization, it is critical to revoke their access to all tools. ToolTrack AI provides a structured offboarding process to make sure nothing is missed.

Starting the Offboarding Process

  1. Go to the Team page from the sidebar.
  2. Find the team member you need to offboard. You can use the search or filter controls to locate them.
  3. Click the Offboard button next to their name.

This opens the offboarding workflow and changes the member's status to indicate that offboarding is in progress.

The Revocation Checklist

Once offboarding begins, ToolTrack AI generates a revocation checklist based on all the tools that person currently has access to. Each item in the checklist represents one tool that needs to be deprovisioned.

For each tool, you will see:

  • Tool name — The name of the tool to revoke.
  • Status — Whether revocation is pending or complete.
  • Action — A button to mark the tool as revoked once you have removed the person's access in the actual tool.

Work through the checklist one tool at a time. As you mark each tool revoked, the checklist updates to show your progress.

Completing Offboarding

Once every tool on the checklist has been marked as revoked, click Complete Offboarding to finalize the process. This will:

  • Set the member's status to Offboarded.
  • Log an offboarding completion event in the audit log.
  • Remove the member from active team counts.

The member's record is kept in the system for audit purposes. You can still see them on the Team page by filtering for Offboarded status.

Why Offboarding Matters

Incomplete offboarding is one of the most common SOC 2 findings. ToolTrack AI ensures you have a clear record that every tool was revoked for every departing team member, giving you confidence during audits.
